1. Energieeffizienz-Experte einbinden
Was wir übernehmen

What is the timeline for a BEG funding application?
The most common question before a renovation is not how much, but when and what. With BEG (Federal Funding for Efficient Buildings), the sequence determines whether a grant is awarded: anyone who places an order too early loses the funding entirely — and this cannot be corrected retrospectively.
The one rule that governs everything
The application must be submitted before the project begins.
The start of a project is defined as the conclusion of a supply or service contract — i.e. placing the order with the trades contractor, not the start of construction work. Anyone who signs a contract without a funding condition and only then submits an application will receive nothing.
Mandatory, not optional: At the time of application, a contract must already exist that is subject to a suspensive or resolutive condition tied to the funding approval and that states the anticipated implementation date. Suspensive means: the contract only becomes effective upon approval. Such a contract does not count as the start of the project and protects the contractor without jeopardising the funding. This wording must be included in the contract before both parties sign.
Planning services, consulting, and the preparation of the renovation roadmap (iSFP) do not count as the start of the project. An energy consultant may therefore be engaged beforehand.
The process in five steps
1. Engage an energy efficiency expert
For building envelope and systems engineering measures, an energy efficiency expert listed in the expert directory prepares the Technical Project Description (TPB); for heating optimisation without the iSFP (individual renovation roadmap) bonus, this may also be done by the specialist contractor. No BAFA application is possible without a TPB. For heating system replacement via KfW, the corresponding document is called the Confirmation for the Application (BzA); it is prepared by an energy efficiency expert or the specialist contractor.
Allow extra lead time here: the expert requires information about the building, often an on-site inspection, and the confirmation is generated via a portal.
2. Sign a contract — with a funding condition
A quote is not sufficient for the application: a concluded supply or service contract must exist from which the eligible costs are evident. Ask the contractor to include the suspensive or resolutive condition tied to the funding approval and the anticipated implementation date. This secures the price, while the contract only becomes effective upon approval (suspensive) or lapses in the event of rejection (resolutive).
3. Submit the application
The application is submitted via the portal of the responsible authority — BAFA for building envelope, systems engineering, and heating optimisation; KfW for heating system replacement. The TPB ID (BAFA) or BzA ID (KfW), details from the conditional contract, and information about the applicant are submitted; for KfW, the contract is uploaded.
4. Wait for the grant notice
Only once the grant notice has been issued is it confirmed whether, and to what extent, funding will be provided. Work should not begin until after the notice has been received; starting earlier is done at the applicant's own risk.
The approval period begins with the grant notice. For individual measures via BAFA, this period is 36 months from receipt of the grant notice — this duration has applied since January 1, 2024. The proof of use must be submitted within 6 months of completion of the project, and no later than 6 months after the end of the approval period (i.e. a maximum of 42 months after the notice).
For heating system replacement via KfW, shorter deadlines may apply. The information in your grant notice is always authoritative — check it immediately upon receipt and note the date in your calendar.
There are conflicting statements regarding extensions. Under the older version of the rules, an extension of up to 24 months was possible if the delay was not attributable to the applicant. Since the extension of the period to 36 months, several specialist sources report that a further deadline extension has been removed. Do not rely on this: plan so that the measure is completed within the deadline, and if in doubt, enquire with the funding authority before the deadline expires.
5. Implement and provide proof
After completion of the work, you submit the proof of use: invoices, the specialist contractor declaration, and the technical confirmation from the energy efficiency expert following completion. The grant is only paid out after this stage.
The three most common mistakes
Placing an order without a funding condition before submitting the application. The most costly mistake and the most frequent. Even a verbal agreement or a deposit payment can be treated as the start of the project.
Allowing the approval period to lapse. Anyone who misses the deadline and submits the proof too late forfeits the entitlement. An extension is possible — but only while the deadline is still running.
Deviating from the application as submitted. If something different from the measure applied for is installed, or if the amount deviates significantly, the grant may be reduced. Any changes must be coordinated in advance.
How long does the whole process take?
The review itself is often faster than expected — around 10 working days are cited for KfW. However, this cannot be guaranteed: processing times vary with workload, and application volumes regularly surge ahead of changes to guidelines.
The real time-consuming part comes before the submission: scheduling an appointment with the energy consultant, the on-site inspection, obtaining a quote from the contractor. Allow several weeks for this and schedule the implementation date accordingly — not the other way around.
Anyone planning to renovate in autumn should therefore prepare the application in summer, not in September.
